Data Search Terms and Conditions

If permission to access the data held by RECORD is granted I/We understand the following:

  1. I/We agree that data released by RECORD to clients or other suppliers, in any format and on any media, will only be used for the one, single purpose for which it was originally requested and for the time period originally agreed upon (See note 3 below).
  2. I/We agree that data released by RECORD to clients or other suppliers will not be added to any permanent database system (electronic or paper based) unless by written agreement with RECORD. This form of agreement will incur further charges related to length and potential multiplicity of use.
  3. I/We understand that following the end of the agreed time period, or of 12 months from the enquiry date the received data must be deleted from any electronic system (See note 2 above). Any further usage of the data must be preceded by a further request for a re-release and update of the data from RECORD and thereby will incur a further enquiry charge.
  4. I/We agree that data retrieved from RECORD will not be passed on to or communicated with third parties except as aggregated data within reports, or as anonymised data in the form of maps etc., which constitute a part of the agreed reason for the original enquiry.
  5. RECORD tries its utmost to ensure the accuracy of its records. However, it is impossible to guarantee the veracity of every single species observation and we therefore disclaim responsibility for the accuracy of information supplied. Individual records can be queried with the RECORD office if necessary.
  6. Any biological record is specific to the date of the recording and does not necessarily imply the continuance of the species at that site.
  7. The lack of species and/or habitat information for a geographically defined area does not necessarily imply a low biodiversity value for that area. It may simply be unrecorded.
  8. RECORD may charge for the time required for extracting and formatting the information as well as for a proportion of the overheads of the organisation.
  9. A copy of any report, or other product, produced using the data from RECORD would be gratefully received if provided without cost.
  10. RECORD must be acknowledged within any report, or other product produced, using data provided by RECORD.
